1. Document library
The document library is where you can read and maintain office documents.
Locating documents
- Browse through the folders to get to the documents
- Or, use "Search file entries" which is available on each folder to perform a full text search and find the relevant documents.
Reading a document
Click on the name of the document to open it up.Working on a document: workflow
- Browse to the folder where the document is.
- If someone else is working on the document, if will show "YES" under the locked column. Come back later.
- Select "View|Edit" which is always on on the right hand side of a document
- If someone else is working on the document, if will show who it is in red. Come back later.
- Download the document ( usually with a rightclick, Save target as... ) to your computer. Do not change the document's name.
- Checkout the document by selecting "Lock". This will prevent others from uploading their version of the document.
- You will now see the message: "Your request processed successfully. ". And when you look at the list of documents, it will say "Locked"
- Change the document that you downloaded.
- Once finished, return to the select "View|Edit" again which is always on on the right hand side of a document
- Use "select" to browse to the document on your computer. Then upload it.
- You will now see the message: "Your request processed successfully. "
- To unlock the document in order for other people to edit it, select "View|Edit" and press "Unlock"
Restrictions
- Not all document types are allowed. These will not show up in the document upload selection box.
Setting folder permissions ( administrator's only )
To gve users the ability to add\update\delete documents use the "View|Permissions" settings and check or uncheck the boxes at "Community Members"Further reading on the LifeRay website
